Executive Assistant

Position Description

Provide administrative support to the Partner in Charge of Government Relations and members of the state government relations team.  Provide integration support to the state and federal government relations teams.  This is an exciting role to be in the center of the industry leading Lockridge Grindal Nauen government relations practice area.  The role will allow for interaction with key stakeholders both internal and external.  The role is fast paced and will enable an individual to have exposure to the full spectrum of areas of client service.

Position Responsibilities

Provide administrative support:

·       Management of calendars and scheduling for Partner in Charge of Government Relations

·       Travel planning and expense reporting

·       Preparing documents and correspondence

·       Maintaining accurate files and document management system

·       Communicating verbally and via e-mail with clients

·       Lead planning  for staff meetings at LGN or off site

·       Lead coordination between state and federal teams

·       Collaboration facilitation with business development team and partners

·       Scheduling, agendas, meeting materials, set-up, recording of internal meeting notes and minutes, etc.

·       Create documents, proof, update, scan, copy, file, proactively maintain, etc.

3 years of experience

 

SPECIALIZED KNOWLEDGE REQUIRED:

Experience with Microsoft Office Applications (Outlook, Word, Excel, PowerPoint, OneNote)

 

DESIRED/PREFERRED QUALIFICATIONS

 

·       Professional etiquette (telephone, correspondence, email, and in person

·       Ability to communicate with a variety of people at differing levels effectively

·       Excellent written and oral communication skills

·       Excellent organizational skills required with ability to prioritize

·       Ability to handle difficult situations with poise and professionalism

·       Ability to work well under multiple instructions and directions with tight deadlines

·       High level of energy and willingness to work independently in a fast-paced environment

·       Ability to work effectively in a team environment and build strong working relationships

·       Self-motivated, team player, strong work ethic

·       Experience coordinating complex travel planning
