Description
Flaherty & Hood, P.A. is seeking a Program Coordinator to join our team. This position will help support the daily operations of several nonprofit advocacy organizations and associations and provide administrative assistance to the firm’s association management and government relations team.

About the Position
The Program Coordinator is a newly established position that will work closely with the Director of Association Management & Client Services to support the firm’s growing association management client portfolio. The Program Coordinator will coordinate the day-to-day execution of multiple association management projects and services, including communicating regularly with clients and firm staff, ensuring schedules and deadlines are met, tracking and reporting tasks and deliverables, and helping to establish, improve and refine systems and processes. Responsibilities for the role may include:
Association Management
- Assist with the planning and execution of meetings and events, especially Days at the Capitol, annual conferences, and smaller regional events throughout the state.
- Maintain association/membership management software, update membership databases and contact lists, and assist with member outreach and engagement efforts.
- Coordinate and prepare agendas, materials and minutes for Boards of Directors and committee meetings.
- Serve as an initial point of contact for inquiries from clients, members, vendors, and other partners.
- Coordinate the distribution of print and online communications using email marketing software and other tools as needed.
- Update client websites and social media accounts.
- Receive and process payments using financial accounting software.
- Work with other Flaherty & Hood staff to help plan and execute additional short- and long-term client projects.
Other Client Support
- Schedule staff meetings and events, prepare materials, and coordinate follow-up.
- Assist with maintaining and organizing firm documentation and resources.
- Organize event and meeting supplies, track inventory, and coordinate purchasing of additional supplies.
- Help prepare and track client proposals and contract renewals.
- Assist with annual reporting to the Campaign Finance Board, Office of the State Auditor, Secretary of State, and other entities.
This is an in-person role based in St. Paul, Minnesota. The position will require some in-state travel, including overnight trips.
Flaherty & Hood, P.A. provides competitive salaries and benefits, such as medical, dental, long-term disability, and life insurance; 401(k) plan; health club and data plan reimbursement; and paid holidays and paid time off. The salary range for this role is $55,000-$65,000.
Qualifications
- Proven organizational skills and attention to detail, especially related to administrative work, event planning, membership management, and/or stakeholder engagement.
- Ability to effectively manage several major tasks and projects for multiple clients in a fast-paced work environment.
- Passion for customer service and ability to build relationships with people from a variety of backgrounds.
- Aptitude for establishing and improving systems and processes.
- Experience writing and creating resources and materials for professional audiences.
- Willingness to adapt and take on additional responsibilities as needed to exceed client expectations.
- Ability to quickly learn to use membership management, project management, email marketing, basic website design, and financial software.
- Proficient in using Microsoft 365 products.
